What does a Mediaportal Excel Export include?
An Excel export from Mediaportal includes the metadata and details on the media items you are exporting. The exported spreadsheet also includes:
- ASR/Ad Value figures
- Audience and Circulation figures
- Comments
- Item ID
- Page Number
- Name of the brief or folder the content was exported from
- links to video and audio streaming content (optional)
How to export to Excel?
There are two ways on how to export an Excel file from your Mediaportal.
- Exporting from folders or search results – This process results in exported items sorted by Item ID. You can use Excel’s built-in sorting options to organize your media items.
- Exporting from the Report Builder – The exported items from this process are organized based on how you sorted them in the Report Builder.
Exporting from folders or search results
When you are viewing the list of media items from a folder or from your search results, you can click the tick box right across every item. The blue action bar will then appear at the bottom of your screen, giving you option to ‘Export’ the selected items.
After clicking the ‘Export’ button, the pop-up appears to give you options on what you want your Excel file to look like. You can choose the compatible Excel format, include each syndicated item copy, include comments from your team, or include links to audio and video streaming content. The syndicated item copy applies to Radio and TV items – select this if you’d like each syndicated Broadcast item to appear on a new line in the report. For example, a news item that appeared on Channel 9 in Sydney, Brisbane and Adelaide would appear on your report three times.
When you’re all set, finally click the ‘Export’ button to download your file. Make sure that your browser does not block pop-ups from Mediaportal so you can access your exported file.
Exporting from the Report Builder
A Mediaportal report can be built in various formats, including the option to build it into an Excel workbook. If you plan to use the Report Builder when exporting to Excel, select the media items first to be added to your report. Selecting your media items from your folders or search results also prompts the blue action bar to appear, with an option to ‘Report’ the selected items.
After adding items to the report, you can head to the Report Builder tool found in the right panel menu. The Report Builder page shows the items you have added, which you can organize using the group and sort functions.
Selecting ‘Sort by Manual’ allows you to drag-and-drop the items according to your order preference. To drag-and-drop, simply hover your mouse on the left side of each item to reveal and click the move arrow icon, and then hold your click to drag the item to your desired order.
Once you are all set, head to the Report Builder options found in the right hand side of the screen. Select ‘Excel file’ as the final output of your report. Other options such as the inclusion of logos, thumbnails and appending original print articles are not applicable for this type of output. After selecting applicable inclusions, you can finally click ‘Build this report’ to download your Excel file.
Make sure that your browser does not block pop-ups from Mediaportal so you can access your exported file.
From your Excel file, click the headline of a newspaper or magazine item to open the PDF press clip. Clicking the URL of an online news item redirects you to the original article online. If you have chosen to include links to video and audio streaming content, clicking the URL on a radio or TV item will open the stream on Mediaportal or will prompt you to purchase the stream if you haven’t already done so.
