New Report Sharing & Collaboration Tools

Collaboration just got easier with new sharing features in the Reports. Now, you can seamlessly share reports with your team, manage access, and prevent accidental overwrites—keeping everyone aligned increasing productivity.

Share Reports with Ease

Sharing reports is now just a click away. Select the users you want to collaborate with, and they’ll receive the same permissions as you. Once shared, team members will get an email and an in-platform notification so they know when they receive access.

Smart Editing Controls

To prevent conflicts, a report will be locked when it is being edited by another team member. Click on the report or hover over the lock to see who’s working on it. If someone steps away for more than five minutes, they’ll get a timeout prompt asking if they want to continue editing or exit. When adding items to a shared report, you will now see a confirmation message if another teammate has recently made changes, ensuring no one’s work gets overwritten.

Improved Topic Navigation

Jumping from a report to a related topic is now smoother. When grouped by topic, reports now feature a “Go to Topic” button, linking directly to the relevant topic. We’ve also made it simpler to get access to topics that are shared with your account.

New Layout Settings for Automated Reports

We’ve made it easier to maintain a consistent report layout while still giving you the flexibility to make last-minute adjustments before sending. Now, you can set grouping and sorting preferences upfront, ensuring every report has the same structure. But if you need to tweak things for a particular instance, you can easily adjust it without affecting future reports. Plus, we’ve added a new “Include Repeated Items” feature to make sure content that’s relevant to multiple sections shows up in all the right places.

Key Features and Benefits

  • Report-Level Grouping & Sorting: You can now set these preferences when editing an automated report, making sure every report follows the same layout without needing to adjust things every time.
  • Custom Arrangement: When you choose Custom grouping, a drag-and-drop interface lets you rearrange sections however you like, giving you complete control.
  • Instance-Level Adjustments: If you need to adjust grouping and sorting for a specific report, you can do that within the item list. These changes will only apply to that instance, so you don’t have to worry about them carrying over to future reports.
  • Include Repeated Items: For reports grouped by topic, a new checkbox called “Include repeated items” ensures that content relevant to multiple sections shows up where needed. This option is enabled by default, so you don’t miss any important information.

How It Works

  1. Editing Your Automated Report: When you open the setup modal, you can easily adjust grouping and sorting preferences. After saving, those settings will apply to all future reports, keeping things consistent.
  2. Adjusting for Specific Reports: If you want to tweak the layout for a particular instance, just do it within the item list for that report. These changes won’t affect future reports, so you can customize as needed.
  3. Using the “Include Repeated Items” Option: If you group your report by topic, you can toggle the new option to ensure that content shows up in all the right sections. This way, you make sure nothing gets left out, even if it’s relevant to multiple areas.

This update is all about making your report-building process easier and more efficient. You can now maintain consistency while still having the flexibility to tweak things on the fly—perfect for when you need to make adjustments before finalizing the report.

 Edit Report Items 

We’re thrilled to unveil Report Item Editing, designed to give you greater control over the content in your reports. Whether you need to refine text, customise broadcast content, or add your own summaries, this update gives you complete control over your report items to deliver polished, impactful reports every time.

Features and Functionality

The item editing feature is now availble in Manual and Automate Reports offering two key capabilities to enhance your reports:

  1. Edit Text Content:
    1. Customise or add your own item description on any report item

    • Save edits or revert to the original content anytime.

    • Edited items are clearly marked to identify that they have been customised. This identifier is visible in the builder and the final report output.
  1. Edit & Replace Broadcast Links:
    • Choose your own start and end points for audio or video streams
    • Replace the default streaming link on a broadcast item in reports with your custom version.

    • Restore the original link and transcript to the report with the revert option if needed.

What Can I Use It For?

  • Update headings, descriptions, and summaries to better align with your message and audience needs.
  • Fine-tune your content to remove errors, add context, or highlight critical information.
  • Trim video and audio content to focus on the most impactful moments, and replace links with custom URLs for better engagement.
  • Make all these changes directly within the Report Builder, with no extra tools required.
  • Maintain original data – edits are applied only to your report and won’t alter the original items in your account, so you can experiment confidently.

Enhanced Keyword Highlighting

We made major improvements to keyword highlighting and tagging, which are now available across FindTopicsFeed, and Reports. These updates provide more clarity and context, making it easier to understand why items match your searches or topics.

Key Features & Functionality

  • Better Search Relevance in Find:
    • See highlights based on your specific search query, making it easier to spot relevant matches.
    • Results include context around the keyword match

  • Clear Topic Keyword Matching:
    • Matches now reflect topic-specific keyword filters if applied.
    • No filters? The system will fall back to default (brief keyword) matching.

Feed, Reports, and Notifications follow consistent rules for highlighting, streamlining keyword matches across the platform

How Do These Change Help Me?

These changes make it easier to:

  • Quickly identify why items match your searches or topics.
  • Gain better context around matches.
  • Enjoy a more consistent and intuitive experience across all features.

Additional Details:

  • Topic keyword matches display on newly added items. Existing items in topics will continue to show brief keyword matches.
  • Previously tagged items retain their original keyword tags, even if filters are updated.
  • Items manually added to filtered topics will show brief keyword matches.
